Add a second booking reminder alert πŸ””πŸ””


Who doesn't need a little extra reminder sometimes? 

We've come to realize that sometimes one booking reminder message just isn't enough, especially if you tend to have bookings that are scheduled more than a day in advance.  So now you can add a second Booking reminder that allows you to stagger these reminder alerts. 

To get started adding a second Booking Reminder, just head over to the Bookings tab of your Alerts Settings and select the blue plus sign to set up a second alert reminder time.

Improvements to Customer Options fields

The ability to add your own input fields for your customers to fill in when they join your waitlist and schedule a booking adds a lot of flexibility to Waitwhile.

We've now made it even more flexible by adding some new rule options to your custom fields.

1. Set a minimum and maximum value requirement

You can now specify minimum and maximum value/requirement for your custom fields. 

Example: You would like to set a min/max value for age groups at a youth sports signup event. Your guests will receive an error and be prompted to enter proper value if not entered correctly. 


2. Show a field only for specific Services

If you want to collect extra information if guests pick a certain service, you're now in luck. You can now set this for the custom field so that it will only show up for the specified services (by default it will show for all services).

Example: You only want to ask for the Age Group if the guest selects the Youth Football Tournament service but not if they pick the All Ages Practice service.


3. Custom fields now show in the customer's visit history

You can now see any custom fields under the Visits tab for a customer for their previous visits. This is great if you want to quickly see information about the customer and learn about their previous interactions with your business.

Improvements to Flagging and Un-Flagging customers

Waitwhile allows you to "flag" a customer that misbehaves or that you want to keep an eye on, if they visit you again. By flagging a customer it will show "Flagged" next to their name in the waitlist or booking calendar. You can also disallow a flagged customer from being able to sign up at your business!

We've now made it easier to manage your Flagged customer. From the Customer Page you can now update the Flagged status for a customer by clicking on customer name and setting status in action drawer.

Redirect Public Check-in and Booking Page to any URL

Redirect your customers to any custom URL on the check-in or booking confirmation pages.



This allows you to direct your customers to your website, social media, patient registration form, or even a survey after they have confirmed their check in or booking.

Give a try under settings > self check in > online self check in or online scheduling > edit > enter URL in the confirmation redirect URL field. 

Your guests will be notified of the redirect on the confirmation page and will be given the option to remain on the current page.

Scan Guest QR Codes to Expedite the Serving Process ⚑

Managing your waitlist/bookings just got a whole lot easier! 

You can now expedite the serving process by scanning a guest's unique QR code that they will receive whenever they are added to your waitlist or create a booking. 

This will make it easy for busy locations to find a specific guest, confirm their information and serve them quickly. No more scrolling or searching by name!

How it works:  

Ask your customer to have their QR code ready upon arrival. The QR code can be found on their individual guest status page or booking confirmation page, which can be accessed via the URL that is sent in the waitlist or booking confirmation text.

Once the QR code has been presented to you, simply scan it and Voila! Within the Waitwhile platform it will automatically pull up the guest's details so that you can confirm their information and serve them in a flash!

Let customers pick between your locations more easily βœ…

You can create as many Locations in your Waitwhile account as you'd like for your different waitlists, departments or booking calendars. 

But did you know that you also have a public page where your customers can view all your locations and choose the one they'd like to join?

You can find your multi-location public link under the Self Check-in Settings page and we've now made this page look better when you have many locations. 

You can also customize the look and feel of this page under Styling settings where you can add your own stylesheet.

You can now deactivate Locations without deleting them

Waitwhile lets you create as many Locations as you'd like in your account. Each location has it's own unique waitlist and booking appointments calendar - and can be customized separately from your other locations.

As of today, you can now Deactivate any location you no longer need. This is great when you have locations you no longer use, but prefer to not remove altogether. For example, you might want use the location again in the future or keep its historical customer data and analytics (which is purged when the location is deleted).

To deactivate a location, go to your Dashboard and click the drop-down next to the location and select "Deactivate". Any deactivated location is moved to the bottom and can no longer be selected by any of user on your account.

Here's some other things that happen when a location is deactivated:

  • Guests can no longer sign up to its waitlist or make a booking on it
  • Location will no longer be included in your billing plan
  • Users on your account can no longer view the location or change settings for it, until it's been re-activated again

You can re-activate a deactivated location anytime from your Dashboard by clicking the dropdown next to it and selecting "Activate":

We hope this feature helps you keep your account tidy and allows you to keep locations you're not currently using, but may want to use again in the future!

Settings now show if Service/Resource support only Waitlist or Bookings

Services and Resources are really powerful features of Waitwhile to manage your customer flow.

For each service and resource that you've added, you can control if it should be available for your Waitlist, Bookings or both. We now label this clearly under the Service Settings and Resource Settings pages if a service/resource is set to "Bookings only" or "Waitlist only":

This makes it easier to get an overview without having to click in on each service or resource!

Unavailable services now show as... unavailable!

If you've set available hours for your services and a customer is trying to join your waitlist, they'll see when a service is unavailable.

Previously the Service would just be hidden which could confuse some customers.
